Event Photography Planning Timeline and Checklist
Great event photos are mostly decided before the event starts. The organisers who get the best results are the ones who booked early, wrote a clear brief and told their photographer about the run sheet changes before the night, not during it.
Hey, I'm Andy, an event photographer in Wellington. This is the timeline and checklist I would follow if I were organising your conference, gala, launch or Christmas party.
What Does Event Photography Include?
Event photography covers the whole story of your event: the venue and set-up, guests arriving, speeches and presentations, awards, sponsor and brand signage, candid moments between guests, and any planned group photos. The photos are edited and delivered as a gallery you can use in your marketing, reports and thank-you emails. When you book me, your gallery arrives within 24 hours and comes with a commercial usage licence.
Your Planning Timeline at a Glance
| When | What to do |
|---|---|
| As soon as the date is set | Book your photographer and decide how much coverage you need |
| 2 to 4 weeks before | Write the photo brief and shot list |
| 1 week before | Confirm the run sheet, contacts, access and lighting |
| On the day | Keep one contact person free for the photographer |
| After the event | Share the gallery and put the photos to work |
As Soon as Your Date Is Confirmed: Book Your Photographer
For most events, 2 to 4 weeks notice is enough. For large galas, conferences and multi-day events, book as soon as your date is locked in. Work Christmas parties and end-of-year functions bunch up on the same few nights between late November and mid-December, so book those early too.
- Confirm the date, venue and start and finish times
- Decide how much coverage you need (see how many hours of event photography you need)
- Check the budget against published prices so there are no surprises later
- Decide on extras: instant guest photo sharing with SpotMyPhotos, or a highlight video
2 to 4 Weeks Before: Write the Photo Brief
A one-page brief is enough. It should answer:
- What are the photos for? Website, social media, a press release, sponsor reports, the annual report or next year's promotion
- What are the must-have shots? List them in order of importance
- Who matters most? Speakers, VIPs, award winners and sponsors, with names and a photo if you can
- Which branding needs to be seen? Stage signage, sponsor walls, product displays and banners
- Which group photos do you need? Who is in each one, when and where
- How will you handle photo consent? Tell guests photography will happen, and agree a simple way to spot anyone who would rather not be photographed
1 Week Before: Confirm the Details
- Send the final run sheet with times, and flag anything likely to move
- Name one contact person for the day, with their mobile number
- Confirm venue access, parking and when I can arrive to photograph the set-up
- Tell me about the lighting: dim rooms, coloured stage lights or a daylight venue all change how I shoot. My guide to low-light event photography explains why
- If you have booked SpotMyPhotos, include the guest sign-up details in your event communications
- Confirm the dress code, so I blend in with your guests
On the Day
- I arrive early to photograph the venue, set-up and branding before guests arrive
- Keep your contact person reachable, especially for changes to the run sheet
- Schedule group photos early, before people drift away or the bar opens
- Let speakers know the photographer will be moving around the room during their session
- Point out the VIPs and sponsors as they arrive
After the Event
- Your edited gallery arrives within 24 hours
- Share the gallery link with your team, speakers and sponsors
- Pick the photos for your thank-you email, social posts and any press release while the event is still fresh
- Download your favourites: the online gallery stays available for 12 months
- Save a few strong images for next year's promotion
